How To: Configure and Manage a DOVE Classroom Lab (Faculty)

This document describes how Duquesne faculty can install software, add,  manage and invite students, and configure usage quotas in a DOVE Classroom lab.

Warning: Do not save any personal information or files to a DOVE Classroom virtual machine. Files should be saved and uploaded to a cloud storage service, such as Box or Microsoft OneDrive.

An Overview of Virtual Machines (VMs)

A computing environment consists of several pieces, such as an operating system, software and apps, folders, drivers and even your desktop wallpaper. If you're using a personal computer, the computing environment is stored locally on the computer itself. Virtual machines (VMs), on the other hand, store their computing environment remotely on a server. This means you can access a VM 24 hours a day, 365 days a year from just about anywhere in the world.

Access your DOVE Classroom Lab(s)

  1. Go to labs.azure.com
  2. Sign in with your University email address and click Next
  3. Select Work or school account to be directed to a Duquesne University sign-in page
  4. Sign in with your MultiPass username and password

After signing in successfully, you’ll arrive at the Azure Lab Services dashboard. Here, you can view your DOVE classroom labs.

Set Up and Manage a Classroom Lab

Set the Lab Capacity

Before adding students your classroom lab, you must first set the lab capacity.

  1. Select a DOVE Classroom lab on the Azure Lab Services dashboard
  2. Select Virtual machine pool in the navigation menu on the left side of the screen
  3. On the Virtual machine pool page, select Lab capacity: <number> machines

  4. Enter the new number of computers you want in your classroom lab, and click Save

    Note: If you increased the capacity, you will see the new VM(s) being created. If you do not see the new VM(s) in the list, refresh the page.

Start or stop all classroom lab VMs

  1. Select Virtual machine pool in the navigation menu on the left side of the screen
  2. Select Start all from the toolbar

  3. After all the VMs are started, you can stop all VMs by selecting Stop all from the toolbar

Start selected classroom lab VMs

  1. Select Virtual machine pool in the navigation menu on the left side of the screen
  2. Select the VM(s) in the list that you want to start
  3. Select Start on the toolbar or toggle the button in the State column

  4. On the Reset virtual machine(s) pop-up, click Reset
    Warning
    : Resetting a classroom VM will remove all saved data on that VM.

Reset passwords for VMs

  1. Select Template in the navigation menu on the left side of the screen
  2. Select Reset password on the toolbar

  3. On the Reset password box, enter a password and then click Reset password

Add and Manage Lab Users

You can add students to a classroom lab manually or by uploading a CSV file with their email addresses.

Add students manually

  1. Select Users in the navigation menu on the left side of the screen.
  2. In the toolbar, select Add users

  3. To add students manually, select Add by email address
  4. In the Add users pane, enter the students' email addresses on separate lines or on a single line separated by semicolons, and click Add

Add students by uploading a CSV file

  1. In Microsoft Excel, create a CSV file that lists students’ email addresses in one column
  2. Select Users in the navigation menu on the left side of the screen
  3. In the toolbar, select Add users
  4. In the Add users pane, select Upload CSV
  5. Select the CSV file that contains the students' email addresses and then select Open
  6. A list of students that will be added to your lab will be displayed. Click Add

    Note: You must invite students to your classroom lab after adding them as classroom lab users.

Invite Users to a Classroom Lab

After adding users to your classroom lab, you must invite them so they can register for and access the lab.

Note: Your lab capacity must be set before inviting students to a lab. If this process is not completed, students will not be able to register to your lab.

Invite all students to a lab

  1. Select Users in the navigation menu on the left side of the screen
  2. In the toolbar, select Invite all

  3. In the Send invitation by email window, enter the message below and then click Send:
    Greetings class,
    
    Welcome to the DOVE Classroom lab for our [Insert course name] course. Please register for this course’s DOVE Classroom lab 
    using the registration link above.
    
    For more information on DOVE Classroom and how to access it, please go to www.duq.edu/dove.
    
    [Insert your name]
    
    The Invitation column of the Users list displays the invitation status for each added user. The status will change to Sending and then to Sent on <date>.

Invite selected students to a lab

  1. Select Users in the navigation menu on the left side of the screen
  2. Select a student or multiple students in the Users list
  3. In the row of student(s) you've selected, select the envelope icon. Alternatively, you can select Invite in the toolbar

  4. In the Send invitation by email window, enter the message below and then click Send:
    Greetings class,
    
    Welcome to the DOVE Classroom lab for our [Insert course name] course. Please register for this course’s DOVE Classroom lab 
    using the registration link above.
    
    For more information on DOVE Classroom and how to access it, please go to www.duq.edu/dove.
    
    [Insert your name]
    
    The Invitation column of the Users list displays the invitation status for each added user. The status will change to Sending and then to Sent on <date>.

Invite students to a lab by sharing a registration link

  1. Select Users in the navigation menu on the left side of the screen
  2. In the toolbar, select Registration link

  3. In the User registration window, click Copy and then click Done

You can now copy and paste the registration link in an email to your class or in your Blackboard course site. If you would like to send an email to your class with the link, please use the template below:

Greetings class,

Welcome to the DOVE Classroom lab for our [Insert course name] course. Please register for this course’s DOVE Classroom lab 
using the registration link above.

Adjust a Classroom's Lab's Usage Quota

Set quotas for all students

  1. Select Users in the navigation menu on the left side of the screen
  2. In the toolbar, select Quota per user: <number> hour(s)

  3. In the Quota per user window, specify the number of lab hours you want to give each student and then click Save

    The changed values are now displayed on the Quota per user: <number of hours> button on the toolbar and in the Users list.

Set quotas for specific students

  1. Select Users in the navigation menu on the left side of the screen
  2. Select a student or students from the Users list and then select Adjust quota in the toolbar

  3. In the Adjust quota for <selected user(s) email address> window, enter the number of additional lab hours you want to give the selected student or students and then click Apply.

    In the Users list, the Usage column will display the updated quote for the selected student or students.
