How To: Schedule Meetings with Outlook and Zoom

This article explains how Microsoft Outlook can be used to schedule meetings over Zoom.

Outlook Client on Windows

  1. Launch the Software Center by opening the Start menu in the lower left-hand corner and clicking the Software Center icon
  2. Install the Zoom Outlook Plugin within the Software Center by clicking it under the list of Applications and clicking Install
  3. Open the Outlook desktop application, and switch to the Calendar view
  4. Enter meeting details like the Subject, location, and who you want to invite
  5. Click on Add a Zoom Meeting from the Zoom tab in the top right of the window. (If you need to adjust any video, audio and meeting settings for this meeting, select Settings, choose your settings and then click Add Zoom Meeting.)

  6. If prompted, sign in to your Zoom account using SSO. If prompted to enter a domain, enter “duq” so that the full domain reads “duq.zoom.us” and then you will be prompted to enter your MultiPass credentials and DUO.

  7. Click Send to send the meeting invitation

Outlook on the Web (duq.edu/mail)

  1. Open your Outlook web calendar and click New Event to create a new calendar event.
  2. Enter meeting details like the title, location, and guest list.
  3. Click the three dots in the top toolbar and select Zoom. If Zoom does not show here, select Get Add-ins at the bottom of the dropdown menu. Search and add the Zoom plug-in to your Outlook Web App.

  4. Click Zoom and then Add a Zoom Meeting.
  5. You may see a window asking for permission to allow Zoom to open a separate window. Select Allow.
  6. Sign in to your Zoom account using SSO. If prompted to enter a domain, enter “duq” so that the full domain reads “duq.zoom.us” and then you will be prompted to enter your MultiPass credentials and DUO. If you are already signed in to the Zoom web portal, it will log you in automatically.
