Overview

Meeting delegation allows a user to assign scheduling privileges to another user within the same account. This enables the delegate to schedule, manage, and start meetings on behalf of the original user. It is commonly used by administrative assistants or team members to streamline meeting management.

 

Requirements for Scheduling Privileges

To use scheduling privilege in Zoom, the following conditions must be met

How to Setup Scheduling Privileges

 

  1. Sign in to the Zoom web portal. (duq.zoom.us)
  2. Navigate to Settings in the navigation menu.
  3. Under the Meeting tab, locate Schedule Privilege under the Other section. (scroll all the way to the bottom)

  1. Next to Assign scheduling privilege to, click Add.
  2. Enter the email address(es) or username(s) of the delegate(s).
    • (Optional) Click Add to assign multiple users.
    • (Optional) Check Can manage my private events to allow access to private event details.
  3. Click Save.
    • Note: The delegate must sign out and back in to see the scheduling privilege option.

 

How to Schedule for Another User

Zoom Plugins, Add-ins, and Add-ons

  1. Ensure scheduling privilege is set up and the latest version of the plugin, add-in, or add-on is installed.
  2. Outlook Add-in:
    • Schedule a meeting in Outlook.
    • In the calendar event, click Zoom > Settings.
    • Select the user in the Schedule For dropdown.
  3. Outlook Plugin:
    • Schedule a meeting in Outlook.
    • Click Change Settings in the toolbar.
    • Select the user in the Schedule For dropdown.

Note: For other plugins, refer to specific PDF guides for Chrome/Firefox or G Suite Add-Ons. After scheduling in a third-party app, update the host in the Zoom web portal under Meetings > Edit this Meeting.

 

Scheduling in Zoom Desktop App

  1. Sign in to the Zoom desktop app.
  2. Go to the Home tab and click Schedule.
  3. Select the user under the Schedule for dropdown.
  4. Adjust meeting settings as needed and click Save.

 

How to Transfer Meeting Between Users

  1. Sign in to the Zoom web portal and navigate to Meetings.
  2. Select the meeting topic and click Edit.
  3. Under Schedule For, choose a new host from the dropdown menu.
    • Note: Scheduling privileges for both users are required.
  4. Click Save.

Important: If the meeting is exported to Outlook or Google Calendar, please make sure the new host is invited to the calendar event.

Troubleshooting Issues/Tips and Tricks

  • For private events, users without access will not see invite details or attendee lists unless permitted.
