How To: Pre-assign Participants to Breakout Rooms in Zoom

Description

Pre-assigning breakout rooms allows you to assign students to specific teams prior to launching a Zoom meeting. If you do not pre-assign breakout rooms, you can still assign students to breakouts automatically (random) or manually during an active Zoom meeting. Pre-assigning breakout rooms can be helpful if you have students working in the same small teams throughout the semester.

Steps

Before Pre-assigning Breakout Rooms

In order to be assigned to a breakout room, users must first activate their Duquesne Zoom account by logging into https://duq.zoom.us. Only Duquesne Zoom users can be pre-assigned to breakout rooms. Students will also need to sign in to https://duq.zoom.us prior to joining each Zoom meeting to which they were pre-assigned to breakout rooms.

Pre-assigning Breakout Rooms

  1. Sign into https://duq.zoom.us using your MultiPass credentials
  2. Select Meetings from the left-hand menu
  3. Edit an existing meeting or schedule a new meeting
  4. Under the Meeting Options section, place a checkmark next to Breakout Room pre-assign

  5. Click Import from CSV
  6. Download and complete the provided template

  7. After completing and saving the template file to your computer, drag and drop or browse for the file
  8. After uploading, click Save to save the Breakout Room assignments

  9. Click Save again on the Meeting page to save the meeting settings

Instructions for Students Joining Meetings with Pre-assigned Breakout Rooms

Prior to joining the Zoom meeting through your Blackboard course or the join link that you provided, students will need to sign into Zoom at https://duq.zoom.us.

Launching Pre-assigned Breakout Rooms

  1. Start the meeting for which you created pre-assigned breakout rooms
  2. Select Breakout Rooms from your Zoom tool bar, located at the bottom of your meeting screen
    If a student was not pre-assigned to a room or accessed your meeting without first logging into https://duq.zoom.us, you will see them at the top of the list. You can either manually assign them to one of the available rooms or enable Zoom’s feature to Allow participants to choose room so that can join the appropriate room on their own.
  3. When you are ready to do so, click Open All Rooms

Recovering to Pre-assigned Breakout Rooms

After starting the breakout rooms, you can recover to the breakout rooms assignment you previously specified. This can be useful if you changed your breakout rooms during the meeting, or pre-assigned participants have joined the meeting after you joined the meeting or started breakout rooms. 

  1. From the Breakout Room window, click Close All Rooms to end all breakout rooms
  2. Click Recreate

  3. Select Recover to pre-assigned rooms.
    Participants will be re-organized into the breakout rooms you specified when scheduling the meeting.
