How To: Request, Open, & Assign Permissions to a Shared Calendar

Description

This article describes how to request, open and assign permissions to a shared calendar. Shared calendars appear in the University's email address book. These calendars are typically used to schedule rooms or manage department events.

Steps

Request a shared calendar

Employees can request a shared calendar by clicking HERE to visit the calendar service.

After your shared calendar is created, follow the steps below for opening the calendar and assigning permissions.

Open a shared calendar

You can open a shared calendar from the University email address book.

Outlook Web App (OWA)
  1. Go to duq.edu/mail and sign into your University email account.
  2. Click the calendar icon in the bottom left corner.
  3. Click Import calendar.
  4. Select From directory.
  5. Type the name of the shared calendar you want to add and select it from the search results.
  6. Click Add.
Microsoft Outlook (Windows OS)
  1. In Outlook, click the calendar icon in the bottom left corner.
  2. Click Open Calendar.
  3. Select From Address Book.
  4. Select Global Address List in the Address Book dropdown menu.
  5. Search for the calendar and double-click to open
Microsoft Outlook (macOS)
  1. In Outlook, click the calendar icon in the bottom left corner.
  2. Click Open Shared Calendar.
  3. Type the full calendar name in the search box.
  4. Select the appropriate calendar from the displayed results.
  5. Click Open.

Note

To view additional details about a calendar's appointments, the calendar owner will need to grant either Editor or Reviewer permissions to your account.

Assign permissions to a shared calendar

We recommend using Microsoft Outlook, available on Windows and macOS devices, to assign calendar permissions.

  1. Right-click the calendar name on the left-hand side of Outlook.
  2. Click Properties...
  3. Click the Permissions tab.
  4. Click Add to select a user.
  5. For permission level, please choose either Editor or Reviewer.
  6. Click OK (if you receive an error saying permissions cannot be set, click OK. Permission changes will still take effect.)
