How To: Mail to a LISTSERV List

Description

If you need to send an email to a large number of recipients, we recommend requesting a mailing list. The University uses LISTSERV to create and manage electronic mailing lists.

This article describes three methods for sending mailings to a LISTSERV distribution list.

Please note: The maximum size limit for attachments on lists is 512KB. If you have a file larger, please use Box and share the Box link.

Steps

Sending a Message Using the Outlook Client

  1. Start a new email in Outlook

  2. Enter the address of your LISTSERV list in the To... field, compose the email, and Send it

Sending a Message using the LISTSERV Web Interface

  1. Navigate to List Management, then List Dashboard

  2. Select your list from the list dropdown, and click Update
  3. Once your list is selected, all previous mailings from that list will be displayed
  4. Select the hamburger menu on the right-side of the window and click Post Message

  5. Fill out your message by giving a Name of sender, a Subject, and a Body for your email
  6. You can optionally choose a delivery time by using the Show Advanced button
    • Under Delivery, you can choose deliver immediately or schedule delivery for a future time.
  7. Press Send Message to deliver this email

    You may optionally check Send Copy of Message to Self to send a test message to yourself while distributing the email.

Sending a Message with a Template

  1. Navigate to List Management, then to List Dashboard

  2. Open the hamburger menu on the right-side of the window and click Send Newsletter

  3. Under Template Categories, choose Announcement or Newsletter
  4. Under Select Template, choose a template; you can see previews for the template beneath the form
  5. Click Next

  6. Fill out the sender name and subject details
  7. Click on the placeholders in the body of the email in order to make changes to them

  8. Once completed, select Save and then Next
  9. If you want any plaintext in the body of the email, add it to the Plain Text box
  10. You can send a Test Message by adding your address to the Test Addresses form and pressing Send Tests

  11. After reviewing the test, if all looks correct, click Send
