This guide will provide an overview for accessing and navigating the Team Dynamix (TDx) Planning and Budget (P&B) service catalog, selecting the correct P&B service, and requesting services from P&B.

Where to start?

  • In TDx, navigate to the service catalog to view all services offered by P&B.
  • Select one of the four P&B services which are "Budget Transfers/Inquiries," "Capital/Non-Capital Project Budgets," "SPAs & Labor Related Budget Transfers/Inquiries," and "Study Abroad Budgets."
  • Please utilize the budget transfer form excel sheet when requesting a transfer. This will allow for faster processing once the transfer is received. The form can be found as an attachment in each of the P&B services or in the attachments for this training.
  • If requesting confirmation of a budget balance, permanent budget, position budget, etc., please provide the Fund-Org-Account and position budget. This will allow the P&B team to reply to your inquiry faster.

Which service should I request?

  • Budget Transfers/Inquiries
    • All transfers related to non-labor, revenue, and financial aid accounts.
    • Transfers related to salary accounts may also be submitted here if not related to any employment information.
      • Example: Funding a deficit from lapsed wages in a full-time or part-time position.
    • Budget balance and other inquiries related to the above.
    • This service can be used by all University employees acting in a budget manger capacity as well as students acting on behalf of a student organization.
  • Capital/Non-Capital Project Budgets
    • All transfers related to establishing, adjusting, and closing project budgets via budget transfer.
    • All transfers related to moving money between existing projects.
    • This service can be used by project managers as well as any faculty and staff with viewing access to the project. 
    • This service is NOT for submitting and requesting new projects for approval. New projects should be requested through CTS or Facilities.
  • SPAs & Labor Related Budget Transfer/Inquiries
    • All labor related information and approvals
    • Budget transfers related to labor/salary accounts
    • Non-Academic Affairs full-time SPAs
      • SPAs should be submitted with all required approvals, funding sources, and any supporting documentation.
      • Academic Affairs SPAs should be submitted through Academic Processing for approval
      • Part-Time SPAs can be submitted directly to HR without P&B approval.
      • A blank SPA form can be downloaded from the University website.
  • Study Abroad Budgets
    • All study abroad trip approvals, adjustments, and cancellations.
    • This service is NOT for submitting and requesting new study abroad trips. Please contact Dr. Joseph DeCrosta for information regarding the trip submission and approval process.

Steps

Select a Service

  1. Open the TDx service portal. Select "Browse" services. This will bring up a list of every service grouping in the University.


     
  2. Click "Budget & Finance and Controller's Office" to view all services offered by P&B as well as the Finance division.


     
  3. Click on the service title you wish to request. See Which Service Should I Request? if you are unsure which service you need.


     
  4. After clicking the service title, the screen will now show an overview of the service and any applicable attachments.


     
  5. Review the service to ensure it is the correct service and that all required materials are prepared.
  6. You are now ready to request a service!

Submit a Service Request

  1. After selecting a service from the catalog, select the red "Request Service" on the right side of the service overview.


     
  2. You will be redirected to the service request form.


     
  3. Enter your name or email into the "Requestor" search box. This box will auto fill a name if the user is signed into TDx with their Multipass.


     
  4. Verify the "Acct/Dept" field is correct. This should auto fill based on the requestor information.


     
  5.  Enter any additional contacts that you would like to give viewing access to for the ticket. Contacts can be added by searching the person's first and last name, or by searching their Duquesne email address. Please note that anyone added to the ticket will be able to view all of the information in the ticket. 


     
  6. Enter a subject for the request in the "Title" field. This should be the same as the subject line in an email.


     
  7. In the "Description" field, enter any information related to the request. The more information provided with the request, the faster and more accurately the P&B team will be able to process your ticket.


     
  8. Attach any related documents (SPAs, Transfer Form, etc.) by clicking "Browse" under the "Attachment" header. 


     
  9. Once complete, verify that all information needed to process the request is included in the ticket.
  10. Click "Submit" at the bottom of the form to submit the service request. This will generate a P&B ticket within five minutes. 


     

 

Notes

  • While the P&B services are available to anyone with access, these changes do not affect who is eligible to submit requests to P&B for processing. Employees should still follow their department/school standard operating procedures for making requests. Contact your department/school budget manager if you are unsure.
  • Some services are only accessible by certain University members/employees. If a service is not visible, make sure you are signed in to TDx.
