Requesting a Shared Calendar
A shared calendar in Outlook is a calendar created for a group, department, or project team that can be accessed by multiple people. Unlike a personal calendar, which is tied to an individual’s account, a shared calendar belongs to the University and remains available regardless of staff changes.
Shared calendars allow groups to:
- Post events, deadlines, and meetings in one central place
- Ensure visibility across team members or departments
- Designate owners who manage the calendar (adding/deleting events, setting permissions)
- Grant others appropriate access (view only, edit, or full owner permissions)
Examples: Departmental events calendar, a team project calendar, or a resource calendar for lab reservations.

Requesting a Shared Email Mailbox
A shared email mailbox in Outlook is an email account created for a group, department, or project team that can be accessed and managed by multiple people. Unlike a personal email account, which is tied to an individual, a shared mailbox belongs to the University and remains available regardless of staff changes.
Shared mailboxes allow groups to:
- Send and receive messages from a single, central email address
- Ensure communication continuity across multiple staff members
- Designate owners who manage the mailbox (permissions, rules, or delegation)
- Grant others appropriate access (read only, send as, or full mailbox management)
- Keep communications organized without relying on an individual’s inbox
Examples: Departmental helpdesk email (help@), an admissions mailbox, a project-specific mailbox (event@), or an organizational mailbox for student groups.
